Terms and Conditions

By booking a session with THE LODGE Studios, you agree to the following terms and conditions.

By booking a session with THE LODGE Studios, you agree to the following terms and conditions.

Important note about guests

Due to the size of our studio, we're unable to accommodate guests who aren't directly involved in the filming or recording. The studio is a focused recording environment with no separate waiting area on site.

If you're bringing anyone who won't be appearing on camera or mic, please make alternative arrangements for them in advance. There are several cafés and waiting spots within walking distance, and we're happy to recommend a few.

By confirming this booking, you acknowledge that any additional guests not part of the recording will need to wait off site.

1. Bookings and Payment

All bookings are confirmed only once full payment has been received. Bookings are non-transferable without written approval from THE LODGE Studios.

2. Cancellations and Refunds

All cancellations must be made in writing.

In exceptional circumstances only, and entirely at the discretion of THE LODGE Studios, cancelled hours may be transferred to a future booking. This is not guaranteed, does not constitute an entitlement, and does not apply to promotional bookings as defined in section 4.

3. Rescheduling

3.1 A reschedule is any request to move a confirmed booking to a different date or time. Rescheduling is an accommodation offered at the discretion of THE LODGE Studios within the notice periods below. It is not an entitlement and it is not an alternative to section 2.

3.2 All reschedule requests must be made in writing. Notice is counted in clear days from the date the written request is received to the start time of the booked session.

3.3 Each booking may be rescheduled once only. Any further request to move the same booking is treated as a cancellation under section 2.

3.4 A reschedule is not effective until THE LODGE Studios has confirmed the new date and time in writing. Requests sent by text message, WhatsApp, social media or voicemail are not confirmed until that written confirmation is issued. Until it is issued, the original booking stands.

3.5 Once a reschedule is confirmed, the original slot is released for resale immediately and cannot be reclaimed.

3.6 A rescheduled session must be taken within 30 days of the original booking date and is subject to availability. If it is not taken within that period, the booking and any sums paid are forfeited.

3.7 Once a booking has been rescheduled it is non-refundable, regardless of the notice subsequently given. Section 2 no longer applies to it.

3.8 Weekend and evening sessions require a minimum of 7 clear days' notice to reschedule, regardless of the tiers in clause 3.2.

3.9 THE LODGE Studios reserves the right to decline future bookings, or to require full non-refundable payment in advance, from any client who repeatedly cancels or reschedules.

4. Promotional and Special Offer Bookings

4.1 This section applies to any booking made at a discounted, introductory, trial, founder, campaign or otherwise promotional rate, including but not limited to any offer promoted on social media, paid advertising, email or by referral. The introductory studio hour is a promotional booking for the purposes of these terms.

4.2 Promotional bookings cannot be rescheduled. This applies at any notice period, including where notice would otherwise be sufficient under section 3. The reduced rate is available only because the slot is committed to a specific date and time.

4.3 Promotional bookings are non-refundable from the point of payment. The sliding scale in section 2 does not apply to them.

4.4 Promotional bookings cannot be transferred to another person, to a future date, or to credit against another service.

4.5 These restrictions are stated at the point of booking. By completing a promotional booking, the client confirms they have read and accepted that the session cannot be moved or refunded.

4.6 The only exception is where THE LODGE Studios is unable to deliver the session, in which case section 8 applies and an alternative date will be offered.

5. No-Show Policy

Failure to attend a booked session without prior written notice is classed as a no-show. No-shows are non-refundable and cannot be rescheduled.

A client who does not attend a rescheduled session is treated as a no-show under this section. No further reschedule or refund will be offered.

6. Studio Time and Usage

All booking times include setup, preparation, recording, and breakdown. Clients are responsible for arriving on time and fully prepared. Any delays caused by late arrival or lack of preparation will be deducted from the booked session time.

When the booked time ends, the session ends. THE LODGE Studios cannot extend sessions due to other scheduled bookings. Any additional time required will be charged at the standard hourly rate and is subject to availability.

7. Equipment and Files

Professional recording equipment is provided as part of the booking. Clients may bring their own SD cards or storage devices if faster file transfer is required.

Recorded files are stored securely for 7 days only. After 7 days, files are permanently deleted and cannot be recovered. It is the client's responsibility to download and back up all files within this period. THE LODGE Studios accepts no liability for data loss after deletion.

8. File Delivery

Raw files. Your raw video and audio files are delivered as standard within 2 to 4 working days of your session. Files are delivered via a secure Frame.io link, sent to you by email and SMS. Working days are Monday to Friday and exclude bank holidays, so a Friday session will typically be delivered the following week.

Download promptly. Delivery links expire 7 days after they are sent. Please download and back up your files as soon as you receive them. We keep your files for a limited period only and cannot guarantee we will be able to re-send them once the link has expired. Requests to recover expired files may incur an additional charge and cannot always be fulfilled.

Express File Transfer. If you need your files sooner than the standard 2 to 4 working days, you can add Express File Transfer for £15. Your engineer copies all raw video and audio to your own external drive on site, before you leave, so you walk out with everything the same day.

Express File Transfer must be requested and paid for before or at the start of your session, and you must bring your own USB or USB-C external hard drive with enough free space. We do not supply drives. If you do not bring a drive, the service cannot be provided and standard delivery timescales will apply.

Edited content. The 2 to 4 working day timescale applies to raw files only. Edited episodes, social clips, thumbnails and any other production work follow their own delivery timescales, which are stated at the point of purchase. These typically run from 4 to 7 working days from your session, and begin once your session has been recorded, not from the date of booking.

Delays. Where a delay is caused by circumstances outside our control, including equipment failure, file corruption or a third-party platform outage, we will tell you as soon as we are aware and deliver as quickly as we reasonably can. Our liability in these circumstances is limited to re-recording the session or refunding the affected element of your booking, at our discretion.

9. Force Majeure

THE LODGE Studios shall not be held liable for failure or delay in performance caused by events beyond reasonable control, including but not limited to power outages, equipment failure, fire, flood, extreme weather, government restrictions, or acts of God. In such circumstances, THE LODGE Studios will make reasonable efforts to reschedule the booking. Refunds are not guaranteed.

10. Studio Access and Guests

Access during a booked session is limited to those directly involved in the recording. The studio has no waiting area on site, and additional guests not part of the recording will need to wait off site. THE LODGE Studios reserves the right to refuse entry to anyone not directly involved in the recording or not agreed in advance as part of the production team.

11. Studio Engineer and Supervised Sessions

Every standard session includes a studio engineer on site for the duration of your booking. The engineer's role is to set up and monitor the equipment, check audio and video levels throughout, and resolve technical issues as they arise. This is the primary safeguard that your session records successfully.

If you ask the engineer to leave the recording room, your booking is treated as an unsupervised session for the period they are absent. You accept that no one is monitoring the equipment, levels or recording status during that time, and you take on responsibility for the technical outcome of that footage.

We will always tell you if we believe leaving the room puts your recording at risk. If you ask us to leave anyway, that decision and its consequences are yours. No refund, re-record or credit will be offered for footage lost, corrupted or not captured during a period when you asked the engineer to leave the room.

If you would prefer to record without an engineer present, tell us at the time of booking so we can discuss a dry hire arrangement and the different terms that apply to it.

12. Reporting Problems During Your Session

You must tell your engineer immediately if anything appears wrong during your session, including audio dropouts, a camera stopping, lighting issues or anything that does not look or sound right. Almost every technical problem can be fixed on the spot if we know about it.

Problems raised for the first time after your session has ended, where they could reasonably have been identified and resolved during the session, will not qualify for a refund or a free re-record. This applies in particular where you asked the engineer to leave the room and therefore removed our ability to spot the problem.

13. Technical Faults and Re-Records

Where a genuine equipment or technical failure occurs during a supervised session, through no fault of yours and no fault of ours, our first remedy is a free re-record of the affected material at the earliest mutually convenient slot. We prefer this because it gets you the content you came for.

Where a re-record is impractical, for example a guest who cannot realistically return, we will refund the portion of your booking affected by the failure.

Where the failure is caused by our error, our equipment or our engineer, we will offer a free re-record or a full refund of the affected session, at your choice.

14. Where Refunds Are Not Given

We will not refund, re-record or credit a session where:

15. Limits

Any refund is limited to the amount you paid for the affected session or the affected element of your package. We are not liable for indirect or consequential losses, including guest travel or time, lost income, missed publishing deadlines or third-party fees.

Claims must be raised within 7 days of your session or of file delivery, whichever is later.

16. Your Statutory Rights

Nothing in these terms removes or limits your legal rights as a consumer, including your right to expect the service to be carried out with reasonable care and skill. Where we are at fault, we will put it right.

17. Acceptance of Terms

By completing a booking, the client confirms they have read, understood, and agreed to these Terms and Conditions in full.
